We have an opening in our accounting office for an Office Assistant. This person will be responsible for handling accounts payable and receivable, preparing daily cash-ups, cashiering customers, keeping schedules clean, and keeping track of other office needs. A background with accounting is necessary to be able to succeed in this position. Duties include:
- Records payments from customers
- Reconciles and deposits all monies received
- Maintains account receivable records
- Takes appropriate action to collect debts owed
- Receipts all monies received from service, parts and vehicle sales
- Prepares cash deposits
- Processes daily credit card deposits
- Answers phone calls and responds to all account receivable inquiries
- Updates customer account information
- Assists in related special projects and required
- Maintains professional appearance and neat work area
- Posts all billings into accounts payable on a daily basis
- Prepares accounts payable checks
- Analyzes all vendor accounts
- Answers all vendor inquiries
- Prepares analysis of accounts as required
- Other duties as assigned

Responsibilities:
- Meet and greet service customers promptly in a professional and courteous manner
- Inspect vehicles and refer to service history to accurately identify and verify customer’s service needs
- Promote the sales of appropriate services, parts, and accessories by thoroughly understanding the product and associated service requirements
- Provide accurate cost and time of completion estimates for the services recommended, communicate and get proper authorization from customers
- Check on the progress of services to vehicles throughout the day, and contact customer to communicate and receive approval regarding any changes in the cost-estimate, promised time of delivery, or recommended services
- Administer new and used vehicle warranty repairs following manufacturer warranty guidelines
- Confirm service appointments by telephone the day before the scheduled appointment, and conduct post-repair follow up
Qualifications:
- Two years of customer service experience required
- Have a broad scope of automotive mechanical/electrical knowledge
- Be familiar with computers and the internet
- Maintain a neat, clean, and professional appearance
- Have a pleasant/friendly demeanor and an outgoing personality
- Be professional and dependable
- Have a valid driver’s license with a good driving record
- Be legally authorized to work in the US

- Clean windows, glass partitions, and mirrors using cleaners, sponges, and squeegees
- Care for equipment and supplies, including changing filters and belts on vacuums, cleaning equipment basins, etc.
- Maintain an inventory and requisition of supplies
- General upkeep of building systems
- Follow proper methods and safe use of materials and equipment, and all safety regulations and policies

Qualifications:
- Two years of janitorial experience cleaning businesses or dealerships required
- Handy, able to accomplish light/general building and systems repair work
- Understand and carry out oral and written instructions specified in English
- Skill to operate essential cleaning equipment
- Sufficient strength and physical agility to perform the duties and responsibilities of the job. (lift 50-100 lbs)
